How to bulk import and export Shopify data: the best way

Bulk importing and exporting is the fastest way to change a lot of Shopify data at once. It is also the fastest way to break a store, because one wrong column can touch thousands of records.

This guide shows the safe way to do it with BluePeacock Import & Export: back up first, prepare a clean file, check every change before it runs, and keep a one-click way back.

What can you bulk import and export in Shopify?

With BluePeacock Import & Export you can move almost everything a store holds:

  • Products, variants and collections
  • Customers and B2B companies
  • Orders, draft orders and payouts
  • Discounts, pages, blog posts, redirects and navigation menus
  • Files, metafields, metaobjects and their definitions
  • Translations, locations and catalogs

Step 1: Export a backup first

Before any large import, export the data you are about to change. Keep that file as a restore point.

The export also gives you a template whose columns already match your store, so it is the best starting point for your import file.

Step 2: Prepare your file

Use a CSV or Excel file. Then check these points before you upload:

  • One header row, then one row per record.
  • Include an identity column, such as an ID, a handle or an email address. It tells BluePeacock which record to update, so nothing is duplicated.
  • Leave a cell blank when you do not want to change that value. BluePeacock leaves blank cells alone.
  • Keep long numbers such as barcodes as text, so a spreadsheet does not round them.
  • Delete columns you are not changing. Fewer columns mean fewer surprises.

Step 3: Match your columns

Match each column in your file to a Shopify field. Set any column you do not need to "Ignore this column".

Save the setup, and the next import with the same file layout needs no matching at all.

Step 4: Review every change before it runs

BluePeacock shows what will be added, updated and skipped before anything is written to your store.

Rows with a problem are named with their row number, the column and what to fix. You can also run a test that changes no data.

Step 5: Run now or on a schedule

Run the import straight away, or set a date, time, timezone and repeat. Choose what happens to rows with errors, for example skip them and report them.

BluePeacock saves the old value of every field it changes before it writes.

Step 6: Undo if something went wrong

If a finished import was a mistake, open the job and undo it. The saved old values go back in one click.

How to bulk export Shopify data

Exports follow the same pattern:

  • Choose the data types you need.
  • Pick the columns and put them in order.
  • Filter the records to include.
  • Choose CSV, Excel or Google Sheets.
  • Download the file, or send it to FTP, SFTP or Google Drive.
  • Run it now, or schedule a repeat export such as a weekly backup.

How to bulk edit products with a spreadsheet

Export the products you want to change. Edit the file in Excel or Google Sheets. Import it back.

BluePeacock shows every change before it writes, so you can confirm your edits did what you meant. If they did not, undo the import in one click.

Moving to Shopify from another platform

Use the guided migration. Connect your WooCommerce store with its API keys, or start from an export file from your old platform. Review what will move, then import it with the same preview and undo.

Common mistakes to avoid

  • Importing without an identity column, which creates duplicates.
  • Changing a lot of data without exporting a backup first.
  • Letting a spreadsheet turn barcodes or long IDs into rounded numbers.
  • Running an import without looking at the changes first.

Why this is the best way

A preview catches the mistake before it reaches your store. Saved old values and one-click undo fix the ones that slip through. And if you get stuck, a person at BluePeacock answers the same working day.
